Privacy Policy

Last updated: May 2025

1. Introduction

pdftoword.in ("we", "our", "us") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and what rights you have in relation to it. By using our service, you agree to the practices described here.

2. Information We Collect

2a. Files You Upload

When you upload a PDF for conversion, that file is transmitted to our servers over an encrypted HTTPS connection. The file is stored temporarily in memory and on disk solely to perform the conversion. We do not read, index, or analyse the content of your documents. Both the uploaded PDF and the converted Word file are automatically and permanently deleted within 1 hour of upload.

2b. Server Logs

Our server automatically records standard web server logs, which may include your IP address, browser user-agent, the date and time of requests, and HTTP status codes. These logs are used solely for security monitoring, troubleshooting, and preventing abuse. We do not use them to identify individual users. Logs are retained for a maximum of 30 days.

2c. Analytics

We may use privacy-respecting analytics tools (such as Google Analytics 4 with IP anonymization) to understand aggregate traffic patterns — pages visited, device types, and geographic regions. No personally identifiable information is collected through analytics.

3. How We Use Your Information

  • To perform the PDF-to-Word conversion you request
  • To detect and prevent abuse, fraud, or security incidents
  • To improve the performance and reliability of our service
  • To comply with legal obligations

We do not sell, rent, or share your data with third parties for advertising or marketing purposes.

4. Data Retention and Deletion

Uploaded PDF files and generated DOCX files are deleted automatically within 1 hour of upload — even if you do not download the converted file. No copies are kept. We have no ability to recover files after deletion.

5. Cookies

We use only strictly necessary cookies required for the site to function (e.g., security cookies). We do not use tracking or advertising cookies. If analytics is enabled, it may use cookies that can be blocked via browser settings.

6. Data Security

All data transmission between your browser and our servers is encrypted using TLS (HTTPS). We follow industry best practices for server security, including access controls and regular security reviews. However, no internet transmission is 100% secure.

7. Your Rights (GDPR & DPDP)

If you are located in the European Union or India, you may have the following rights under GDPR and India's Digital Personal Data Protection Act (DPDP Act), 2023:

  • Right to access — request information about data we hold about you
  • Right to erasure — request deletion of your data (note: files are auto-deleted within 1 hour)
  • Right to restrict processing — request that we limit our use of your data
  • Right to data portability — receive your data in a structured format
  • Right to object — object to processing of your personal data

To exercise any of these rights, contact us at our contact page.

8. Children's Privacy

Our service is not directed at children under the age of 13. We do not knowingly collect personal data from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated date at the top of this page. Continued use of the service after changes constitutes acceptance of the updated policy.
